You will spend countless hours with us throughout this process. It should feel like a partnership you look forward to — not an obligation you manage.

Step One — The First Conversation

Every family works with us differently. Some hand us the full vision from day one. Others come to us with everything planned and simply need a trusted team to execute the day beautifully. Others fall somewhere in between.

Whether we are guiding the entire process or stepping in when the plans are already in place, our role is the same: to bring clarity to the process, precision to the details, and calm to the experience.

Step Two — The Journey

This is where the world of your celebration begins to take shape. We develop the design direction, aesthetic language, and feeling you want the room to carry. Every decision is made with intention — and with a deep understanding of who your family is and what this moment means to you.

STEP THREE — DESIGN & VISION

For families who select full or partial planning, we source, vet, and manage every vendor on your behalf — photographers, florists, caterers, entertainment, and more. You have access to a trusted network built over years in Los Angeles, with every recommendation chosen specifically for your celebration.

STEP FOUR — BUILDING YOUR VENDOR TEAM

As the day approaches, the details are confirmed, the timeline is stress-tested, and every vendor is briefed.

We walk through the plans, anticipate what could go wrong, and make sure every person involved knows exactly what is expected of them. This is where the months of invisible work become visible — and where our experience allows you to stop thinking about the logistics and start looking forward to the celebration.

STEP FIVE — THE FINAL STRETCH

You arrive. Everything is in place. The room is ready. Your vendors know where to be. Your timeline is moving exactly as planned.

The only thing left for you to do is be present for every moment of the day you have been dreaming about. We handle everything else — from the first vendor arrival to the final song of the evening.

What is the difference between a venue coordinator and an event planner?

A venue coordinator works for the venue — not for you. Their responsibility is to ensure the property's policies are followed and that the space is set up according to the venue's standards. An independent event planner works exclusively in your interest. We manage the vendors, timelines, logistics, and moving parts throughout your celebration. The two roles are not interchangeable. Having both is the strongest approach.

What is the difference between full planning and day-of coordination?

Full planning means we are involved from the beginning — concept development, vendor sourcing, design direction, logistics, and complete management through your event day. Day-of coordination means you have handled the planning yourself and bring us in near the end to execute everything you have built. Both are valuable; which one makes sense depends on how much you have already planned.

DOES EVERY COLLECTION INCLUDE DAY-OF COORDINATION?

Yes. Every planning experience with The Event Bar includes on-site management on the day of your celebration. We remain there to oversee the vendors, timeline, and details so you can be fully present.

How far in advance should we reach out?

The honest answer is — as soon as you are ready. We have planned full weddings in two weeks. We have stepped in with 30 days to go and delivered something extraordinary.

The timeline depends on where you are when you find us. For month-of coordination, we recommend reaching out at least 45 days before your event; for day-of coordination, at least two weeks. For full and partial planning, the earlier the better — more time simply means more creative freedom.

But if your date is sooner than you would like, reach out anyway. We will tell you honestly what is possible. It is usually more than you think.

Do you work with a specific list of vendors or can we bring our own?

We maintain a preferred vendor list across every category — photographers, videographers, DJs, caterers, hair and makeup artists, and more. These are professionals whose work, reliability, and standards we know and trust. We are happy to make recommendations and introductions.

If you have a vendor in mind who is not on our list, we are open to the conversation. They must have a proven track record and a portfolio that reflects the level of our events. If we have worked with someone before and have concerns about their reliability, we will tell you honestly.

For design and décor, we work exclusively with our trusted creative partners. This allows us to protect the aesthetic and quality of your celebration from concept through execution.

What does the planning process look like once we book?

It begins with a dedicated planning consultation where we establish your vision, priorities, and timeline. From there, we build a structured roadmap that guides every decision leading up to your event day. You will always know where things stand, what decisions are coming, and what we are handling on your behalf. The process is intentional, personal, and designed to feel as enjoyable as the celebration itself.

Who communicates with the vendors?

For clients who select the full or partial planning experience, The Event Bar serves as the primary point of contact for all vendors. This prevents confusion, eliminates back-and-forth, and ensures every detail is coordinated seamlessly across everyone involved in your celebration

Does the planner pay vendors or expenses on our behalf?

No. All payments to vendors and event expenses are handled directly by the client. The Event Bar manages coordination, contracts, and logistics but does not act as a financial intermediary. This protects you and ensures complete transparency across every transaction.
